AI automation · Wholesale

Less routine. More business.

AI automation for wholesale. Reduce manual effort in customer enquiries, quotations and orders. We develop and integrate suitable solutions into your existing systems.

Typical challenges

Does this sound familiar?

Your inside sales team spends a lot of time reviewing enquiries and putting quotations together.

Orders from e-mails and PDFs have to be entered manually into your inventory management or ERP system.

Recurring customer questions tie up the inside sales team.

Product information is spread across different systems.

Many of these tasks can be supported or partly automated with AI, without having to replace your existing systems entirely.

Our AI solutions

AI Customer Service

Supports employees with recurring questions about products, availability and order status, using access to approved company information.

Benefit: Faster answers and relief for the inside sales team.

AI Inventory Optimisation

Analyses historical sales data and stock developments to support demand forecasts and purchasing decisions.

Benefit: Better-informed purchasing and earlier detection of possible shortages.

Whether and to what extent a solution suits your company depends on your processes, data and systems and is assessed in the intro call and the design phase.

An illustrative example

What AI automation could look like in a concrete example.

This is how the AI Quotation Assistant could prepare a customer enquiry. All data and article identifiers in the example are invented.

Example with invented data No customer data

Enquiry arrives

"We need 200 metres of installation cable and 50 connectors. Please send us a quotation."

AI recognises items and quantities

Installation cable · 200 m Connectors · 50 pcs Request: quotation

Match against product catalogue

The recognised details are matched against a sample product catalogue. Unclear matches are flagged for clarification.

Clarify missing details

"Which cable type and conductor cross-section do you need? Please also specify the connector variant or an article number."

Clearly defined clarification requests can be sent automatically under agreed rules. Unclear cases go to an employee.

Capture the customer's reply

"Please use cable type K-01 with a 1.5 mm² conductor cross-section and connector S-02."

The AI records the clarification request and reply in the enquiry, adds the details and matches them against the product catalogue again. The article identifiers are fictitious.

Draft for review

The completed details form the basis of a quotation draft for review. The quotation is sent only after approval by an employee.

Project process

From idea to everyday use

  1. Choose suitable workflows

We assess which workflows are suitable, what the solution could deliver and how much effort connecting it to your systems would require.

  2. Plan the solution

We define what the solution needs to do, how it works with your systems and how data will be protected. Together, we agree on measurable goals.

  3. Test on a small scale

We build an initial working solution and test it using typical tasks from your business.

  4. Use it in everyday work

If the practical test meets the agreed goals, we connect the solution to your existing workflows and systems.

Zapote is your contact throughout the collaboration, plans the technical solution, manages the project and checks the quality. We clarify data protection and data processing arrangements with you transparently in advance.

Funding options

Implement AI projects with possible funding

Depending on the federal state, company size and project, funding programmes may support the introduction of digital solutions and AI. One example is the Digitalbonus Bayern for small companies with a business site in Bavaria.

Check which programmes apply to your project with the responsible funding body or economic development agency. Conditions and availability can change.

We describe the technical project scope and provide technical information for your discussions with the funding body.

Discuss funding options
Example Digitalbonus Bayern: requirements according to the currently published conditions (as of October 2026, without guarantee):
  • Commercial company with a business site in Bavaria, fewer than 50 employees and annual turnover or balance sheet total of at most EUR 10 million. Liberal professions are excluded.
  • The application must be submitted before the project starts. Only after receiving the acknowledgement of receipt by email may you start the project at your own risk and enter into contracts. The acknowledgement is not a funding approval.
  • Funding covers services of external providers for introducing a solution, not pure consulting without implementation. A minimum volume of eligible expenses applies.
Important note: Approval is granted exclusively by the responsible funding body. Eligibility and the amount of any grant must be checked individually. There is no funding promise and no guaranteed funding rate. The application is made by you; we do not provide legal or tax advice. For information on the example programme, see Digitalbonus Bayern (German website).

FAQ

Frequently asked questions about AI automation in wholesale

Which wholesale processes can be automated with AI?

Typical starting points are handling customer enquiries and quotations, capturing orders from e-mails and PDFs, recurring customer questions for the inside sales team, and support for purchasing and stock planning. Whether a process is suitable depends on its flow, your data and your systems. We assess this together with you in terms of benefit, feasibility and integration effort.

Do we have to replace our ERP or existing systems?

No, the goal is integration into your existing processes and systems. Which interfaces your ERP offers and how complex the connection is, we clarify in the design phase.

Does the AI decide on its own?

The AI works within the rules we agree with you. It prepares quotations and orders. An employee reviews and approves before a quotation is sent or an order is transferred into the ERP. It can send clearly defined requests for missing details automatically. Unclear cases go to an employee.

How does a project work?

After a free 30-minute intro call, there are four steps: choose suitable workflows, plan the solution, test on a small scale and, if the agreed goals are met, use it in everyday work. Timeline and budget depend on the use case and are agreed before the start.

Is there funding for AI projects?

Depending on the federal state and company size, there are funding programmes that may subsidise the introduction of digital solutions and the use of AI. One example is the Digitalbonus Bayern for small companies with a business site in Bavaria. There, the published conditions include, among others, fewer than 50 employees and an application submitted before the project starts. Only after receiving the acknowledgement of receipt by email may you start at your own risk and enter into contracts; this does not constitute funding approval. Which programmes apply to your federal state and your project, you check with the responsible funding body. Eligibility and amount must be checked individually, and approval is granted exclusively by the responsible funding body. We provide technical project information for your discussions with the funding body, but we do not promise funding.

How do you handle data protection and company data?

We define requirements for data protection, data access and permissions in the design phase, before the pilot. The legal assessment is made together with your legal counsel or data protection advisor. AI access is limited to information you release.

Who is this offer for?

Wholesale companies, initially with a focus on Bavaria. Typical contacts are managing directors, heads of sales and those responsible for operations and digitalisation. We are based in Berlin and work mostly remotely, with workshops on site where useful.

Which processes could you automate with AI?

In a free, non-binding intro call, we assess together which workflows are suitable and under what conditions implementation would be worthwhile for your company.
